Welcome to Pacific Sol Massage! I am honored to be a part of your wellness journey. Whether you're on a path to recovery, a weekend adventurer with tight hamstrings, or a desk jockey with a perpetually sore neck, I'm here to help you achieve your therapeutic goals. I developed these policies so you have a clear map about my scope of practice, scheduling, payments, superbills, what you can expect during your session, and my ethical standards. These policies are subject to change, and any updates will be posted on my website and communicated to clients via email. Please reach out with any questions.
Scope of Practice
At Pacific Sol Massage, I focus on promoting relaxation, stress relief, improved mobility, and pain management through trigger point therapy, stretching, and other therapeutic modalities. My techniques target the soft tissues of the body to enhance circulation, reduce muscle tension, and improve range of motion. While massage can be a powerful tool for wellness, I cannot diagnose medical conditions or prescribe medications. I can tailor a massage to your goals, whether it's post-hike recovery, tension relief, or just some well-deserved pampering. If something comes up during our session that needs further evaluation by a qualified medical professional, I'll be happy to recommend someone in our local network!
Zero-tolerance Behavior Policy
Pacific Sol Massage is a professional space dedicated to relaxation, therapeutic treatment, and overall wellness. To create a safe, positive and inclusive environment for everyone, this is a non-discrimination zone. I don’t partake or discriminate on the basis of race, color, creed, national origin, sex (including pregnancy), marital status, age (40+), sexual orientation (including gender identity), veteran or military status, presence of any sensory, mental, or physical disability in the provision of services.
This Zero-tolerance Behavior Policy includes, but is not limited to:

Sexual harassment or innuendo: This massage is for therapeutic purposes only. Any sexual advances, comments, jokes, or gestures are prohibited.

Indecent Exposure: I will maintain professional draping throughout the session. You are expected to do the same.

Disruptive or threatening behavior: This includes yelling, swearing, insults, threats, or any other language that is disrespectful or intimidating.

Physical abuse: This includes any unwanted physical contact, such as hitting, grabbing, or pushing.

Discriminatory or offensive language: This includes comments that are racist, sexist, homophobic, transphobic, age, marital status, or otherwise discriminatory.

Unprofessional behavior: Making excessive demands, or violating appointment boundaries.

Under the influence: If you appear intoxicated or under the influence of drugs, your session will be canceled.
If any of these things happen, here's what will occur:

I will politely but firmly end the session immediately.

Depending on the severity of the situation, I may ask you to leave the premises, and/or contact authorities.

An internal report will be documented.

Full payment will still be required for the canceled session.

Future appointments may be refused.
My goal is to create a space where you feel safe and respected. If you ever have any concerns, please don't hesitate to speak up during your session or beforehand.
This policy will be reviewed periodically to ensure its effectiveness. I have the right to ensure the safety and wellbeing of myself, clients, and practice and can modify this policy at any time to uphold my expectations of safety. Should the authorities need to be contacted, I have the right to do so.
Mini-Me Massages: Children & Teen Policy
From awesome young kids to grown-ups, I’m all about supporting recovery and a healthy lifestyle for everyone . That said, there are a few things to keep in mind when it comes to massages for younger folks:

Parental Permission is a Must: Anyone under 18 needs a signed consent form from a parent or legal guardian before they can hit the massage table. This form will explain everything about the session and give you peace of mind.

Comfort is Key: For young clients (ages 12 and under), a parent or guardian is welcome to stay in the room throughout the massage. This creates a safe and familiar environment for your child.

Teen Time (Sort Of): For older teens (ages 13-17), we can chat about whether they'd prefer a parent in the room or not. It's all about what makes them feel most comfortable!

Focus on Fun: My massages for young clients are all about relaxation and feeling good. They'll be shorter sessions (think 30-45 minutes) with lighter pressure, focusing on techniques that can help with growing pains, sports recovery, or just plain chilling out.

Client Paperwork
To ensure a safe and effective massage experience, all clients of Pacific Sol Massage are required to complete a detailed intake form prior to their first appointment. Withholding information may limit the effectiveness of the treatment and could lead to its discontinuation. Inform your therapist of any changes to your health history or medications between appointments. You are always welcome to ask questions or clarify any details during the intake process, or before a session.
Intake Form
Before your first session, all new clients electronically complete a comprehensive intake form. If you are a returning client, a brief update form will be available electronically to confirm any changes in your health or massage preferences. The intake form covers your health history, current medications, lifestyle habits, massage goals, scent likes and dislikes (essential oils are diffused in the treatment room regularly), and any areas you’d like me to focus on (or avoid!).
Informed Consent
New clients and returning clients (if applicable) will be presented with an electronic informed consent document outlining the benefits and risks of massage therapy, my practice policies, and your rights as a client.
Accuracy Policy
Open communication is key! Please ensure the accuracy and completeness of all your health history information on your intake form. To support your wellness goals and safety, it is important to disclose any relevant health conditions (ie. pregnancy, heart conditions, or diabetes), medications, or injuries. This allows me to tailor the massage treatment to your specific needs and avoid any potential risks associated with undisclosed health conditions or medications.
Withholding information on the intake form can compromise your safety and limit the effectiveness of the massage. In the event that undisclosed information is discovered during the session, I may need to adjust or discontinue the treatment.
Record Retention Policy
Pacific Sol Massage will maintain your client file for a minimum of 10 years following your last session as required by Washington State law. This includes details about your treatment plan, notes from our sessions, and any recommendations made. Should you have any questions or require a copy of your records during this time, don't hesitate to ask!
Pacific Sol Massage uses a 3rd party company, Noterro, for bookings and record keeping, and is not responsible for any lost or stolen information in the unlikely event of this occurring.

Scheduling an Appointment
Online booking will be coming soon! To schedule an appointment, please email me your request to pacificsolmassage@gmail.com, or DM @pacificsolmassage on Instagram or Facebook. I recommend pre-booking appointments in advance as slots can fill up quickly.
Cancelation & Late Arrival Policy
Life throws curveballs, I get it! But to be fair to everyone, please provide at least 48 hours notice if you need to reschedule or cancel your appointment. Late cancelations (less than 48-hours notice) will be charged the full service fee.
No-Shows Happen, But...
If you miss your appointment entirely without notice this is considered a no-show and full service fee will be charged.
Running a Bit Late?
No worries, just send me a quick message. Out of respect for your time and the next client's appointment, your massage session may be shortened if you arrive late. The full service fee will still be charged.
Running Really Late?
If you're running super late (more than 20 minutes) and there's not enough time in that day’s schedule for an adjusted session, we may need to reschedule your appointment. A full service fee will be charged.
In turn, If I ever need to cancel, reschedule, or am running late to our scheduled appointment, I will contact you right away. You will never be charged for a canceled appointment, and my service fee for a late appointment will be adjusted accordingly if the full intended service cannot be provided.
Cancelation Fee Exceptions
Here’s the Bottom Line…I want you to get the most out of your massage experience! A little heads-up goes a long way in keeping things chill for everyone. If you have an emergency or unforeseen situation, just reach out and let me know. We can work something out, because hey, good vibes all around, right? Here are some situations where you won’t be charged a cancelation fee:
Family Emergencies
Family always comes first. If something unexpected comes up with your loved ones, just give me a heads-up and we'll find another time to connect.
Inclement Weather
In the event of severe weather, I will make every effort to communicate any schedule changes as soon as possible. If you feel unsafe traveling due to weather conditions, please let me know at your earliest indication to reschedule your appointment without a cancelation fee. Your safety is my top priority.
Illness and Infection
If you are feeling under the weather, have an unknown rash or skin contagion, or are experiencing a fever, flu, cold-like symptoms, or infection (ie. fungal, bacterial, viral), just let me know as soon as you can so we can reschedule your appointment for when you're feeling better. You will not be subject to the cancelation policy, unless a repeat pattern becomes apparent.

Health & Safety Policies
It is important that you inform your therapist if you are pregnant, have serious heart ailments, diabetes, high blood pressure, skin disorders, or any other medical conditions. If you have any of the conditions listed above, undiagnosed health concerns, I recommend you consult your physician before scheduling any massage treatments.
Tattoo Policy
New tattoo? Awesome! Let me know if you have any healing tattoos so those areas are not massaged. If the area has healed, but still sensitive to touch or pressure, I can ensure proper pressure and technique are provided to the area.
Open Wounds, Scabs & Warts Policy
For the health and safety of both you and I, and my other clients, I am unable to work on areas with open wounds, sores, warts, broken skin, and over healing scabs. Please arrive at your session with all open wounds, warts, and areas of infection properly covered and protected; and of course, if you ever need a Band-Aid, I got you!
If you have any unknown or new skin rashes, lesions, healing wounds, etc., please contact your healthcare professional or go to urgent care if you are experiencing a life-threatening condition.
Illness & Infection Policy
Sometimes you wake up feeling under the weather, or maybe that weekend adventure left you a little worse for wear. No worries!
Here's the deal:

If you're not feeling 100%, please reschedule your appointment. This includes fever, cold, flu symptoms, contagious skin conditions or unknown/new rashes, or anything else that might make you uncomfortable or potentially spread to others.

I understand last-minute things come up. However, to be fair to everyone, please give me at least 48 hours notice to cancel your appointment. Canceling due to illness/infection will not be subject to the cancelation policy, unless a noticeable pattern becomes apparent.
If you are experiencing symptoms or signs of a life-threatening condition, please contact your healthcare professional or go to urgent care for further care right away.
Physician Referrals
In some cases, a physician's referral may be required before providing massage services. This will be determined on a case-by-case basis and depends on the nature of your condition. If you have a recent injury, chronic pain, or any pre-existing medical conditions, a referral from your doctor will help ensure a safe and effective treatment plan. I am happy to work collaboratively with your physician to provide the most comprehensive care possible.
Please note that while a referral may be necessary, it is not required for all clients. If you are unsure whether a referral is needed, please don't hesitate to contact me to discuss your specific situation.
Alcohol & Substance Use Policy
To ensure your safety and the safety of others, I require all clients to be free from the influence of alcohol or recreational drugs, or sometimes medications that can hinder pain during their massage session. If you arrive for your appointment under the influence, your session will be canceled and subject to the cancelation policy. If you have a prescribed medication that might block sensation, let me know so I can tailor the massage safely to your needs.
Disinfection & Cleaning Policy
Squeaky clean? Yes please! Pacific Sol Massage is a space for you to unwind and feel rejuvenated. I have a high standard of cleanliness, and disinfect accordingly, keeping a bright and fresh space for all. Between clients, I properly disinfect and manage linens, equipment and tools used (ie. stones and cups), massage table, face cradles, door handles, bolsters, oil/lotion bottles, utilize a UV air filter, and of course, I practice effective hand-washing.
Laundry
Hypoallergenic laundry detergent and bleach will be used accordingly on all linens, towels, etc.

Scent Policy
Pacific Sol Massage is a non-smoking facility. Please refrain from wearing synthetic perfumes, colognes, or scented lotions before your appointment. Light, natural scents are welcome.
Diffusers & Essential Oils
Essential oils and diffusers are used frequently throughout the studio and in the treatment room. If you enjoy or dislike a particular essential oil scent, please let me know before your session. I am not a certified aromatherapist, and will not be making claims about the therapeutic benefits of essential oils.
Lotions & Oils
Naturally scented oils, unscented lotions and massage oils will be available.
Sound Policy
My goal is to create a space that fosters deep relaxation and stress relief. I know a calming and quiet atmosphere is the foundation to a great massage experience. Here is the low down on sound:
Chill Sounds
You'll likely hear soft nature sounds, gentle instrumental music, or white noise playing in the background.
Your Preference is Key
This is your time to relax, so feel free to let me know if you prefer the music turned off, the volume adjusted, or if there's a specific type of calming music you enjoy. If any sounds become distracting or disrupt your relaxation, please don't hesitate to speak up! I'm happy to adjust the volume or switch the music entirely.
Phone/Electronic Etiquette
For a truly serene experience, I suggest silencing your phone or other electronics during the session. If you prefer to keep the notifications on, go for it!
Conversation
Many people prefer no conversation or silence during their sessions, and frequently go to sleep. You are welcome to chat if you feel called to. Discussions that occur during our session remain private.

Draping & Disrobing Policy
During every bodywork session, your modesty, comfort and feelings of safety is paramount. As a licensed massage therapist, I am required to utilize proper draping techniques. Linen sheets and towels will be used to drape your body, ensuring only the area being worked on is exposed.
The genitals will remain covered at all times during the session and, while most people prefer to remove all clothing, you can elect to wear underwear, sports bra/tank top, shorts/yoga pants, or clothing you find most comfortable. Disposable underwear is available upon request.
If you prefer to remain fully clothed, I can skillfully integrate other modalities such as Sports and Thai Massage to help you achieve your wellness goals.
Communication is key. Please do not hesitate to communicate your comfort level throughout the session.
Jewelry Policy
Please remove any jewelry that may interfere with the massage treatment. This includes necklaces, bracelets, large earrings, and rings. Please know that if you refuse to do so, I will do my best to work around the area but I may not be able to work fully in the area and will not be responsible for any damage. Tip: bring a little pouch to place your personal belongings in so they remain safe!
Lost & Found Policy
If you happen to leave something behind at your appointment, don't worry, I’ve got your back (and literally, hopefully I gave you a great one)! I will hold onto any lost and found item(s) for thirty (30) days. Please text or email me a description of the item(s) left behind so I can properly match up the left-behind belonging(s) to their owner. I am not liable for any lost, stolen, or damaged personal belongings left on our premises. I recommend taking precautions to safeguard your belongings during your visit. Unclaimed items will be donated to a local charity.

Payment & Insurance
My service rates include tax, and are available for review online and during booking. Gratuity isn’t included in the value of service and always appreciated, but never expected.

All credit cards will be processed in US Dollars at the time of payment. Pacific Sol Massage is not responsible for any fees, charges, exchange rates or additional charges levied by individual financial institutions or credit card companies.
Pacific Sol Massage uses the service of leading software company Noterro and payment processing through Square.
Insurance Reimbursement
Out-of-Network Provider. Although I don’t bill insurance directly, I am still considered an “out-of-network provider”. Upon your request, I am happy to provide you with a Superbill so you can submit for insurance reimbursement.
What is a Superbill? This detailed receipt will include all the info your insurance company might need to process your claim, including; date of service, type of massage performed, procedure code, diagnostic code (if provided by your doctor or insurance company), and my license number. Here are some key tips to get your Superbill-ready:

First, check your plan coverage. Insurance plans vary wildly, so it's important to understand what yours covers. Look for terms like "massage therapy" or "out-of-network benefits" for massage services.

A doctor's note might be required. Often, a referral or prescription from your doctor is needed for insurance reimbursement.

If I am providing you with a Superbill, payment for treatments are due at the time of service.Submission of claims is not a guarantee of payment and are processed when received by the insurance company. It is your responsibility to follow up with your insurer on reimbursement for treatments provided.
Planning to use your HSA or FSA Account? That’s great! Some plans require a medical necessity letter from your primary care provider. Verify with your Health Savings Accounts (HSA) and Flexible Spending Accounts (FSA) administrator for additional information on their individualized requirements.
Refunds
No refunds are provided for services rendered, however, with 48 hours notice you can cancel or reschedule your appointment.

Mandated Reporting
The safety and proper support for my clients is vital. Licensed massage therapists are mandatory reporters This means we are legally obligated to report suspected abuse to the appropriate authorities. Please reference RCW 26.44.030(wa.gov) to learn more about the relevant laws.

HIPAA Policy
To comply with the Health Insurance Portability and Accountability Act (HIPAA), Pacific Sol Massage will protect the privacy of your protected health information (PHI). This includes information collected during intake forms, conversations, and treatment notes. I will only use and disclose your PHI for treatment purposes, payment purposes, and healthcare operations as permitted by law.
You will be provided with a copy of our Notice of Privacy Practices which outlines these details in full.
Pacific Sol Massage will never sell trade, rent, exchange or otherwise share your personal information with any other person, company or organization. Insurance companies may require personal information from time to time, which will only be provided with written permission.

Advertising and Marketing Policy
At Pacific Sol Massage, all advertising and marketing materials will be truthful and not misleading. The focus will be on the potential benefits of massage therapy, providing educational material, and sharing the relaxation experience. Guaranteed results and specific health cures will not be claimed.
Photo Release Policy
With your permission and written consent, I may take photographs or videos for marketing purposes online, on social media, and in print. You can revoke your consent at any time by contacting me in writing.
Testimonials Policy
With your written consent, I may use client testimonials online, on social media, and in print. I will not edit testimonials to misrepresent your experience. You have the right to request the removal of your testimonial at any time.
Social Media Policy
I love connecting with clients on social media! Follow me @pacificsolmassage for self-care tips, exclusive promotions, and a glimpse into my world as a massage therapist. Please note that social media is not a place for confidential health discussions. For any health-related questions, give me a call, or we can discuss at your next session.
Pacific Sol Massage will utilize email correspondence for appointment reminders, confirmations, payment receipts, client communication, massage therapy education and information, newsletters, and promotional offers. Please ensure the correct email is used and amended when needed. Pacific Sol Massage is not held liable for contact misinformation on file.

Termination of Services
Pacific Sol Massage reserves the right to terminate service with a client for the following reasons:

Client Conduct: Disruptive behavior, inappropriate language, or actions that make the therapist or other clients feel uncomfortable may result in termination.

Client Health: If a client arrives for a massage with a contagious illness, presents symptoms requiring medical attention, or fails to disclose relevant medical information during the intake process or provide a relevant update to their health information, service may be terminated, and I may recommend seeking medical advice before proceeding.

Non-adherence to Policies: Clients who consistently disregard or violate established policies may have their service terminated.

Safety Concerns: In addition to my client’s safety, my safety is also paramount. If a client requests techniques or pressure levels deemed unsafe or inappropriate, I may refuse service and/or suggest alternative options.

Client-Therapist Fit: Occasionally, the therapeutic relationship may not be a good fit. In such cases, I will work diligently to find a suitable alternative practitioner within our area.
Right to Refuse Service
Pacific Sol Massage has the right to refuse service for any reason with the exception of discrimination. I treat all clients with respect and value their privacy.
